Student Association Executive Office Manager


The Student Association of the University at Albany is seeking an Executive Office Manager who is creative, organized, proactive, and has the capability to serve as a role model for university students. In addition, the successful candidate will have the demonstrated ability to enhance an already vibrant student body and lead to the creation of modernized administrative practice.

Specifically, the Executive Office Manager will be responsible for the continued success of the Student Association office, as well as overseeing and scheduling the student staff and administrative assistant. The Executive Office Manager duties focus on areas of management, organization, scheduling and student leadership development.

This position will report to the Executive Officers of the Student Association, while working collaboratively with the university’s Office of Student Involvement and other campus support offices such as auxiliary services and the University comptroller.

Salary $42,000-$45,000

· Training and overseeing student staff

· Coordinating office operations, ticket window operations and SA sponsored services and events as necessary

· Processing, responding to, and/or appropriately routing mail, email, telephone messages, and information requests.

· Reviewing and processing employee timesheets on a bi-weekly payroll basis, ensuring that all time is properly entered and approved in compliance with all legal and company requirements

· Completing and reviewing employee payroll and benefits documents including but not limited to hiring, changes and separation of employees to ensure compliance with all legal and company requirements

· Maintaining company space, and equipment inventory including related reports

· Maintain knowledge and documentation of all company and affiliates’ policies, procedures, practices and support programs/tools (i.e. My Involvement system) Acting as a Liaison and informative body regarding administrative matters within SA and affiliates

· Tracking and filing all Student Senate legislative actions (i.e. bills and resolutions)

· Assisting with accounts payable, including the performance of any necessary research and providing advice to payees and departments

· Disseminating key information to company employees and affiliates

· Attending and overseeing company events as assigned and necessary (some early morning, late nights and weekend hours required upon occasion)

· Proficient in Microsoft Office Software (Word and Excel)

* Requirements

· Bachelor's degree from an accredited university

· 2 years of experience working in an office environment

· 1-2 years of leading in an office environment

· Ability to work with a diverse student population and develop a positive rapport

· Demonstrates clear organization skills, effective oral and written communication abilities and leadership capabilities

· Ability to adapt a flexible schedule, which may occasionally include some evenings and weekends

· Ability to attend Wednesday night senate meetings if requested

· Adaptability to the ever changing student environment
